What Brokerages Should Look For in a CRM (and What They Overpay For)

July 14, 2026 · 7 min read

Brokerage CRM pricing runs from $39 a seat to $449 a month with a contract, and the spread has less to do with CRM quality than with what is bundled around it. Platforms at the top of the range bundle IDX websites and lead generation. If you need those, pay for them knowingly. If you do not — if your agents generate their own business — you are subsidizing a website you do not use.

Strip the bundles away and the daily-use feature list is short and unglamorous.

The checklist that matters

Four capabilities do most of the work in a brokerage CRM:

  • Lead routing that fires instantly — per-channel intake with webhooks, and round-robin assignment so speed-to-lead does not depend on who is watching the inbox.
  • Permissions that match how brokerages actually work — agents see their book, admins see everything, and a departing agent’s access ends cleanly.
  • One pipeline view — every agent’s opportunities in one place, without asking for screenshots at the Monday meeting.
  • Transaction coordination in the same system — so "under contract" is the middle of the record, not the end of it.

The math at ten agents

onBuilds Brokerage is $39 per seat per month with a three-seat minimum and no base fee. A 10-agent office runs $390 a month, and that includes deals and transaction coordination — compare Follow Up Boss at $69 per user, where ten agents cost $690 before you add a TC tool.

To be fair about the comparison: kvCORE and Lofty cost more because they include IDX websites and lead gen. onBuilds does not do either — it is a CRM for the leads you already generate. If a lead source is what you are buying, buy a lead source. If a system of record is what you are buying, do not pay lead-gen prices for it.

Adoption beats features

The most expensive CRM is the one your agents will not open. Self-serve signup, an onboarding checklist that adapts to the plan, and a workspace that only shows brokerage-relevant modules all lower the barrier. The first user becomes the org admin and invites the team in minutes — no implementation project, no training week.
